Setting Up Proem Email as the Email Service Provider on Organon

Proem Email is the in-house email delivery service integrated into the platform, powered by Amazon Simple Email Service (SES).

Overview

Proem Email is built into the system, which means:

  • No extra setup with external tools.

  • Seamless integration when creating and launching campaigns.

  • Reliable delivery with Amazon SES infrastructure in the background.

👉 In short, Proem Email = Your trusted, built-in email sending service for all campaigns.

This guide explains how to configure your domain and sender email addresses so you can send campaigns through the Proem Email (SES) service.

Step 1: Add Your Domain

  1. Navigate to Email Configuration → Proem Email.

  2. Click Add Domain.

  3. Enter the domain name you want to send emails from (e.g., yourdomain.com) Example: mycompany.com

  4. Click Add Domain.

Step 2: Configure DNS Records

  1. After adding the domain, you will see DNS (CNAME) records that need to be added.

  2. These records are required for DKIM (DomainKeys Identified Mail) verification.

  3. Go to your domain hosting provider (e.g., Wix, GoDaddy, Cloudflare, etc.).

  4. Add the provided CNAME records exactly as shown.

  5. Copy Hostname and Value pairs from the configuration page.

  6. Add them as CNAME entries in your DNS settings.

  7. Once added, return to the platform and click Verify.

⚠️ Note: DNS changes may take some time (up to 24–48 hours) to propagate.

If the status remains Pending, double-check that all CNAME records are added correctly.

Send Instructions to a Teammate

If you don’t manage DNS records yourself, you can forward the details to the right person:

  1. Click Send Instructions to a Teammate.

  2. Enter the email address of the person who manages your domain (e.g., IT team or domain administrator).

  3. Click Send.

📧 An email will be sent to the entered address containing:

  • The required CNAME records (Hostnames and Values).

  • Step-by-step instructions to add them in the DNS provider.

👉 This makes it easy to delegate DNS setup without having to manually copy/paste records.

Step 3: Verify Your Domain

  • Once the records are correctly added and DNS propagation is complete, the domain status will update to Verified.

  • You can verify multiple domains and use them for different campaigns.

Step 4: Add Approved Sender Email

  1. After verifying your domain, click Add Sender under Approved Senders.

  2. Enter the email address you want to use as the sender. Example: [email protected]

  3. Save it.

  4. The sender will now appear in the list of approved senders.

Step 5: Sending Emails in Campaigns

When creating a campaign:

  1. Select Proem Email (Inhouse) as the service provider.

  2. Choose the verified Sender Email from the dropdown.

  3. Proceed with creating and launching your campaign.

Additional Notes

  • Multiple Domains & Senders You can add and verify more than one domain, and assign multiple sender emails. This is useful if you manage campaigns for different brands or departments.

  • DNS Propagation Time DNS changes may take up to 24–48 hours to reflect. During this period, domain status may show as Pending.

  • Record Accuracy Even a small typo in Hostname or Value will prevent verification. Always copy and paste the records directly instead of typing manually.

  • DMARC Policy (Optional but Recommended) To protect your domain from spoofing, you can configure a DMARC record.

  • Email Deliverability Verified domains and DKIM setup ensure your emails are less likely to land in spam. If emails still fail, check bounce/complaint reports and adjust SPF/DMARC settings.

  • Campaign Best Practice Always use an approved sender email belonging to your verified domain (e.g., [email protected]). Using free providers (like Gmail, Yahoo, etc.) is not supported.
